About This Role:

As the Administrative Specialist for our canteen, you'll play a crucial role in ensuring smooth operations by managing administrative tasks and supporting the canteen manager and staff.
Position Summary: The Administrative Specialist for the company canteen will be responsible for handling various administrative duties to support the efficient functioning of the canteen. This role involves tasks such as record-keeping, inventory management, scheduling, and providing excellent customer service to employees.
Key responsibilities:
1. Record-Keeping and Documentation:
- Maintain accurate records of inventory, including food supplies, equipment, and utensils.
- Record daily sales transactions and reconcile cash registers at the end of each shift.
- Keep track of employee meal allowances or discounts and update records accordingly.
2. Inventory Management:
- Assist with inventory control by monitoring stock levels and initiating purchase orders as needed.
- Receive and inspect deliveries to ensure accuracy and quality.
- Work closely with the canteen manager to optimize inventory turnover and minimize waste.3. Scheduling and Timekeeping:

- Coordinate employee schedules, taking into account staffing requirements and individual availability.
- Track employee hours worked and managed timekeeping systems accurately.
- Assist with the coordination of break times and shift rotations to maintain smooth operations
4. Customer Service Support:
- Serve as a point of contact for employees, addressing inquiries, feedback, and concerns in a professional manner.
- Assist with meal orders, payments, and special requests, ensuring a positive customer experience.
- Collaborate with the canteen manager to implement customer service initiatives and quality improvement measures.
5. Administrative Support:
- Assist with administrative tasks such as filing, data entry, and correspondence.
- Prepare reports on sales, inventory, and other relevant metrics as needed.
- Support the canteen manager in coordinating special events or promotions.
Qualifications:
- Previous experience in an administrative or support role, preferably in a food service or hospitality environment.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent attention to detail and accuracy in record-keeping.
- Proficiency in using computer software such as Microsoft Office (Word, Excel, Outlook).
- Strong communication skills, both written and verbal.
- Ability to work collaboratively as part of a team in a fast-paced environment.
- Experience in food service management, preferably in a canteen or cafeteria setting is a plus. Certification in food safety or culinary arts is a plus.
- Fluent in English & Chinese, Dutch is a plus.
