Sales Coordinator, Commercial Vehicles

Sales Coordinator supports the VP of Sales and the entire European bus market by maintaining a database of sales figures, including both sales opportunities and sales orders, and providing relevant reports to both EU and HQ (CN) Management. Additionally, the Sales Coordinator maintains and improves business processes within the sales organization, coordinates back-office operations, and manages cross-functional projects.

The Sales Coordinator is a part of the sales department and reports to the VP of Sales.

Main tasks and responsibilities:

  • Work closely with management to gain an accurate picture of the business in terms of budgets and sales expectations;
  • Arrange monthly department meetings, including scheduling, inviting attendees from other teams, preparing agendas, and taking minutes.
  • Collect up-to-date sales figures, track project progress in each market, and maintain the sales data system.
  • Prepare quarterly and annual sales reports for the management team.
  • Assist the Vice President Sales with business and administrative tasks, managing daily schedules, and organizing meetings and calls with internal and external stakeholders.
  • Act as the primary contact and coordinator for inquiries from internal teams and external stakeholders, facilitating smooth communication and operations.
  • Exchange the latest tender, order, and invoicing information with the EU tender team and the HQ business support team.
  • Provide administrative support for the sales department with paperwork, including obtaining internal approvals and signatures.
  • Manage the bonus and KPI system for the entire department with confidentiality and precision. Work closely with the HR team to ensure all internal procedures are followed and insurance is managed on time.
  • Assist HR in the recruitment process for the department when needed, including drafting job descriptions, participating in candidate selection, and conducting interviews.
  • Support the Marketing team with bus exhibitions, including product displays, gift preparation, attendee invitations, and providing on-site support.
  • Conduct training sessions for new department employees, ensuring smooth onboarding and knowledge transfer.

Requirements:

  • Bachelor’s degree in Business, Management, or Engineering preferred
  • 3-5 years of relevant work experience
  • Fluency in at least English and Chinese, both spoken and written
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent cross-team communication skills
  • Organizational, multitasking, and time-management skills
  • Detail-oriented
  • Fast learner with enthusiasm for acquiring new technical knowledge about buses
  • Capable of handling various urgent issues in high-stress environments
